Create a shareable schedule link

Shared schedule links let you create a public link to a saved, read-only snapshot of a generated schedule.

People who open the link:

  • Do not need a Workable login
  • Can view the snapshot in their browser
  • Cannot edit your plans, resources, or any other organization data in your account

Important:

  • The shared page is a snapshot, not a live view. If you later change the schedule in Workable, the existing shared link does not automatically update.
  • Shared pages are intentionally excluded from search indexing, but anyone who has the link can still open it unless you remove the link
  • The full public URL is shown only once, when the link is created.

You can create shared links for:

  • Schedule by project, in a plan
  • Schedule by person, in a plan
  • Assignment analysis, in the Resources section

Shared schedule links are useful when you want to:

  • Send a schedule snapshot to a someone without requiring them to sign in
  • Share a specific scenario result for review
  • Share a combined Assignment analysis view across selected plans

To share a schedule from Schedule by project or Schedule by person:

  1. Open the plan and go to the schedule results you want to share.
  2. Make sure the view already has a saved schedule result or generate the schedule
  3. Click Shareable link in the toolbar.
  4. Review the confirmation message.
  5. Click Create link.
  6. Use Copy or Open in new tab.
  7. Store the URL somewhere safe before closing the dialog.

To share an Assignment analysis:

  1. Go to Resources → Assignment analysis.
  2. Select the scenarios you want included.
  3. Click Analyze schedules and confirm the results are visible.
  4. Click Shareable link.
  5. Click Create link.
  6. Copy the generated URL before closing the dialog.

Workable keeps the active shared links intentionally simple:

  • One active Schedule by project link per plan
  • One active Schedule by person link per plan
  • One active Assignment analysis link per organization

This means:

  • If you create a new shared link for the same plan and view type, the older link is replaced.
  • If you create a new Assignment analysis shared link, the older Assignment analysis link becomes unavailable.
  • Replaced links stop working and show the recipient that the link is unavailable.

This is helpful if you want to rotate a link or share a newer snapshot without generating multiple, active public links.

Use Settings → Shared schedules to review which shared links are currently active.

The table shows:

  • Type: Schedule by project, Schedule by person, or Assignment analysis
  • Plan(s): The main plan context for the snapshot
  • Title: The snapshot title
  • Shared: When the link was created
  • Created by: The person who generated the link
  1. Open Settings.
  2. Go to Shared schedules.
  3. Find the active link you want to stop sharing.
  4. Click Remove public link.

After removal, the public URL no longer works.
